Forward an enquiry email and it becomes a job

Every account has its own email address. Forward a customer enquiry to it and the enquiry becomes a job, with the customer and work details filled in for you.

Find your address

  1. Open Settings and look for the Inbound email section, or use the Inbound email card on your dashboard.
  2. Tap Copy next to the address. It looks like yourbusiness@in.grafter.ly.

You don't need to change anything about your own email. Two ways to use the address:

  • Forward as you go. When an enquiry lands in your inbox, forward it to your grafter.ly address.
  • BCC it. Add the address as a BCC in your own email client so a copy of the conversation lands here as well.

What happens after you forward

The job appears in Jobs within a few seconds, at the New stage. grafter.ly reads the email and fills in:

  • The customer's name, email and phone, where the message contains them. The customer is created and linked to the job automatically.
  • The work description as the job summary.

Worth knowing: the job appears first with the email's subject line as its summary, then updates to the extracted description a few seconds later. That's normal.

Check it before you quote

Open the job and look over the customer details and the summary. If the email didn't contain a phone number or address, add them yourself — the details came from what the customer wrote, and customers don't always write everything down.

Nothing is sent to your customer without you pressing the button. If you've turned on Enquiry auto-reply in Settings, the customer gets a short acknowledgement email; otherwise they hear nothing until you send the quote.

If the job doesn't appear

  • Check you forwarded to the exact address shown in Settings.
  • Check the New filter on the Jobs page — new enquiries land there, not at the top of every list.
