Enquiries and jobs

See what the enquiry already answered, and ask for the rest

When an enquiry lands, the job is matched to the kind of work it is — a fuse board change, a boiler swap, a wedding — and checks which of the questions you'd normally ask are already answered in the email. What's still missing is listed on the job, and you can ask the customer for it in two taps.

The Job type card

Open a job and find the Job type section.

  • Job type — what the enquiry was matched to. If it came from the email it says Suggested from the enquiry — confirm it or pick another. Tap Confirm to keep it, or choose another from the list. It's a suggestion until you do.
  • Still need — the questions for that kind of job the customer hasn't answered yet.
  • Already told us — what the email already covered, pulled out for you.
  • The badge at the top right says where that leaves you:
    • Enough to quote — every question that matters is answered. Photos are a help, never a blocker.
    • Needs a visit — this kind of job usually needs a look before pricing, whatever's been answered.
    • Missing the basics — there's still something you'd need before you could put a number on it.

Nothing here moves the job's status on its own. The badge tells you where you are; you decide what happens next.

Ask the customer

Tap Ask the customer. You'll see who it's going to and the outstanding questions, all ticked. Untick any you'd rather not ask — an unticked question is asked less often for that kind of job, and after a couple of unticks it stops being suggested at all. Add up to three questions of your own in the box. Tap Send questions.

The email goes out under your business name, with your details at the bottom, and a reply comes back to you rather than to us. It leads with "just reply to this email". The job then shows Asked the customer with the date, and which questions are still open.

The customer needs an email address on the job for this. Add one in the Customer section if it's missing.

How the customer answers

Either way works, and either way the answers land on the job:

  • They reply to the email. The reply threads back onto the job and fills in what it can.
  • They open the link in the email. A page with your business name, the questions, and a box for each. No app, no account. If a question asks for a photo, there's a Send a photo button — photos are resized and stripped of location data before they're saved. They can also just attach photos to their reply.

Answered questions drop off Still need and appear under Already told us, with any photos as thumbnails.

When the job needs a look first

Some jobs you price on site. When the badge says Needs a visit, the Visit section on the job gives you two ways to book it:

  • Book it yourself. Pick a date, a window (morning, afternoon, evening, any time) and how long you'll need — 45 minutes by default. Leave Tell the customer by email ticked and they get the time.
  • Let the customer pick a time. Tap the button and they get an email with a link. They choose a morning or afternoon from your free days over the next two weeks. Their pick is the booking — no confirmation step — and you get an email saying so.

If the job needs a visit and the customer opens their answer page, the time picker is already there — you don't have to send the invite first. You can switch that off under Settings → Working hours → Let customers pick a visit time.

Visits show on the job, on the board card, and on your Schedule as a short fixed block against that day. If the visit's been and gone and there's still no quote on the job, the job says Visited — no quote yet.

Your job types and questions

Settings → Job types & questions holds the set for your trade. For each type you can:

  • hide questions you'd never ask (and bring back anything that got switched off from a job)
  • add your own questions, as text or as a photo request
  • hide a whole job type, or add one of your own with its own questions

There's also a setting under Settings → Enquiry auto-reply called Ask for missing details in the reply. It's off by default. Switch it on and the automatic acknowledgement email also asks the outstanding questions, so the customer gets asked before you've even opened the job. You'll see what was asked on the job and can switch any question off from there.

What it won't do

  • It won't change a job's status, send a quote, or book anything on its own. The job type, the questions that go out and the visit are all yours to confirm.
  • It only asks by email for now — not by text or WhatsApp.
  • One quote visit per job.
