Connect Xero

Connect Xero once and the re-keying stops: every invoice you send is pushed into Xero with the customer attached, and payments your accountant records in Xero flow back to mark the invoice paid here.
Steps
- Open Settings, find the Accounting section, and tap Connect.
- On the Xero page, tap Connect Xero. Connecting takes about 30 seconds.
- Sign in to Xero and pick the organisation to connect — if you look after more than one, choose the right org at the approval screen.
- Approve, and you're back with a Connected badge and the organisation's name.
What syncs, and when
- Invoices push when you send them. Drafts never reach Xero. The invoice arrives as Authorised, under the same invoice number, with the customer created as a Xero contact if they're new.
- Payments pull back every half hour. A payment recorded and reconciled in Xero marks the matching invoice paid here — usually within 30 minutes. Payments recorded here aren't double-counted.
If something doesn't line up
The Xero page shows two checks whenever you visit:
- Invoices not yet in Xero — anything sent here that hasn't landed in Xero, with a Re-push button per invoice.
- Lost jobs with Authorised Xero invoices — a job closed as lost here while its invoice still stands in Xero. That's yours to settle in Xero (usually a credit note); nothing is cancelled automatically.
Worth knowing
- Taking card payments too? In Xero's own settings, connect the Stripe → Xero feed as well. When Stripe pays out to your bank, Xero matches the deposit against the invoice automatically — the invoice number is stamped on the charge for exactly this.
- Disconnect Xero stops the syncing either way; invoices already in Xero stay there.
